WEBSITE PRIVACY NOTICE
Your information.
Handled with care.
This notice explains how ACE Impact CIC uses personal information when you visit our website or contact us with a general enquiry. It covers our development website at dev.aceimpact.co.uk and the website prepared for aceimpact.co.uk.
Who we are
ACE Impact CIC is the controller of the personal information described in this notice. To ask a privacy question, exercise your rights or raise a concern, email hello@aceimpact.co.uk and put “Privacy” in the subject line.
Our projects, volunteering arrangements and other activities may involve different information. Where that happens, we will provide information relevant to the activity. This website notice does not replace those activity-specific notices.
When you contact ACE
We receive the information you choose to send, which may include your name, email address, organisation, telephone number and the contents of your message. Email systems also process technical information needed to deliver the message.
We use this information to respond, understand the support or partnership you are exploring, direct your enquiry to the appropriate person and keep a record of relevant correspondence. Providing it is voluntary, but we may be unable to respond if you do not give us a way to contact you.
Our lawful basis for handling general enquiries is our legitimate interest in communicating with people and managing our community development work. If you ask us to take steps towards an agreement with you, or we need information to deliver that agreement, we may rely on contract. We rely on legal obligation where processing is required by law.
Please avoid sending sensitive information or detailed information about other people in an initial enquiry. If we need further information, we can explain why and agree an appropriate way to share it.
Website visits and technical information
Website and email systems process technical information to deliver their services, maintain security and investigate faults or misuse. This can include IP addresses, request times, pages requested, browser or device information and delivery or security logs. Our legitimate interest is operating reliable services and protecting the website, its users and our correspondence.
Jetpack site statistics
The development website currently includes Jetpack Stats, provided by Automattic. Its published documentation describes the processing of IP address, browser details, pages visited, referring pages, event times, browser language and country. For visitors signed into WordPress.com, it may also process their WordPress.com ID and username. ACE sees aggregate statistics through this feature rather than visitors’ individual IP addresses or account identities.
Automattic states that identifying Stats logs are kept for 28 days to provide the feature. For more detail, read the Jetpack Stats privacy information and Automattic’s visitor privacy notice.
Development-site statistics: Jetpack statistics currently load automatically on this development website. Rejecting optional cookies has not been verified to stop that processing. Please contact ACE if you wish to object or ask about your information.
Cookies and your preferences
Cookies are small records stored by your browser. Related technologies can also process information when pages load. CookieAdmin provides the website’s preference controls. You can reopen them using the cookie icon shown on the page and choose Reject All, Save Preferences or Accept All.
WordPress administrative sign-in also uses cookies to support secure access and remember sign-in choices. You can manage or delete cookies through your browser settings; blocking essential cookies may prevent features such as administrative sign-in from working.
Who helps us provide these services?
Krystal Hosting Ltd provides ACE’s website hosting and email services. Information is processed through those services to host the website, deliver and store correspondence, maintain security and provide associated support. Krystal publishes a data processing agreement.
Automattic provides Jetpack and the WordPress.com connection used to support website management and statistics. Its relevant privacy information is linked above. CookieAdmin is the WordPress tool used for the website’s cookie preference interface.
Information may be accessed by authorised ACE personnel or people supporting us where necessary for their role. We may disclose information where required by law or where necessary to establish, exercise or defend legal claims. We do not sell personal information.
International processing
Using a UK hosting provider does not mean every website service processes information solely in the UK. Automattic operates internationally, and its visitor notice describes its processing and sharing. Where personal information is transferred outside the UK, the applicable transfer arrangements must protect it under UK data protection law. You can contact us for information about the arrangements relevant to your information.
How long information is kept
We keep enquiry correspondence while dealing with the enquiry and for as long afterwards as it is reasonably needed for follow-up, an ongoing relationship, a complaint, a legal obligation or a relevant claim. We consider the nature of the enquiry, whether work is continuing, the sensitivity of the information and any record-keeping requirements when deciding what to retain. Information should be deleted or anonymised when those reasons no longer apply.
Information forming part of an agreed project or service may be subject to the retention arrangements for that activity. Technical records, backups and consent records have their own service and configuration lifecycles; contact us if you need information about a particular record. Jetpack’s stated retention for identifying Stats logs is explained above.
Your rights
Depending on the circumstances and the lawful basis involved, you may ask to access your information, correct it, have it deleted, restrict its use or receive a portable copy. Where we rely on consent, you may withdraw it without affecting the lawfulness of processing before withdrawal. Some rights are subject to conditions or exemptions.
Your right to object
You can object to processing based on legitimate interests, including by explaining why it affects your particular situation. You have a separate right to object to direct marketing. Contact hello@aceimpact.co.uk to make a request or raise an objection. Sending an enquiry does not itself mean you have signed up for marketing.
Questions and complaints
Please contact ACE first if you have a concern so we can consider it. You also have the right to complain to the Information Commissioner’s Office.
